Before following this guide, please ensure that you have created your mailbox correctly within your Online Control Panel. If you aren\u2019t sure that you have done this, please follow the guide found on the link below and then come back here.

Creating A Mailbox<\/a><\/p>\n\n\n\n

Now that you\u2019ve created your mailbox, you\u2019ll need to set it up in Outlook 365 so that you access it without having to log in to webmail. Please ensure that you have Outlook 365 open before you follow the steps below.<\/p>\n\n\n\n

Step 1<\/h2>\n\n\n\n

When you have opened the Outlook app, click on the File<\/strong> button in the top-left corner of the window.<\/p>\n\n\n\n

Step 2<\/h2>\n\n\n\n

Click on the Add Account<\/strong> option<\/p>\n\n\n\n

Step 3<\/h2>\n\n\n\n

Next a screen will appear asking for your email address. Enter your email address and then hit the drop-down arrow next to Advanced Options<\/strong>. Ensure that you select Let Me Set Up My Account Manually<\/strong> and then click Connect<\/strong>.<\/p>\n\n\n\n

Step 4<\/h2>\n\n\n\n

Next a screen will appear with several options under Advanced Setup<\/strong>. Click on the option listed as POP<\/strong>.

Note:<\/strong> You may be asked to enter a password before proceeding however this is not always the case.<\/p>\n\n\n\n

Step 5<\/h2>\n\n\n\n

You will then be presented with the following screen. In here you will input the server details required to make connection to your mailbox.<\/p>\n\n\n\n

Once you have entered the above, the settings should look like this (except for the email address at the top).<\/p>\n\n\n\n

As long as the information you have entered matches the above, you can now click Next<\/strong>.<\/p>\n\n\n\n

Step 6<\/h2>\n\n\n\n

You should now be presented with a window asking for a password, you will need to enter this, and press Connect<\/strong>. If you do not know your current password, please visit the following link.<\/p>\n\n\n\n

You should now see a screen saying Account Successfully Added<\/strong> as shown below. You may now click Done<\/strong> and your Outlook will start syncing and download all your emails that are currently on our server.<\/p>\n\n\n\n

Important Note \u2013 Moving from POP3 to IMAP<\/strong>

Switching an email account from POP3<\/strong> to IMAP<\/strong> changes how your emails are stored<\/strong>, synchronised<\/strong>, and deleted<\/strong>.

With IMAP<\/strong>, emails remain stored on the mail server<\/strong> and are mirrored across all devices<\/strong>. Any action taken in one location \u2014 such as deleting<\/strong>, moving<\/strong>, or organising<\/strong> messages \u2014 will automatically apply everywhere. Deleting an email on your phone, for example, will also delete it from your desktop and webmail<\/strong>.

Under POP3<\/strong>, emails are downloaded to a single device<\/strong> and can be removed from the server<\/strong>. Deleting a message only affects that device, which can create differences between devices but also prevents global deletion.

Changing from a POP3 connection to IMAP will result in existing locally stored emails not being present on the server<\/strong>, and messages can be permanently deleted or lost if they are not backed up beforehand<\/strong>, depending on how the email client is configured.

To prevent permanent data loss<\/strong>, you must create a full backup of your mailboxes before making this change<\/strong>. If you are unsure how to back up your emails, additional guidance or managed assistance may be available<\/strong>.<\/p><\/div>\n\n\n\n
