For more information on Outlook, please visit&nbsp;<a href=\"https:\/\/office.microsoft.com\/\">http:\/\/office.microsoft.com<\/a><\/small><\/p>\n\n\n\n<p>The first step to set up your emails is to find and select&nbsp;<strong>File<\/strong><\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"\/support\/wp-content\/uploads\/2020\/09\/NCOIMAPOutlooksetup1.png\" alt=\"\"\/><\/figure>\n\n\n\n<p>Next select Accounts Settings, as shown below.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"\/support\/wp-content\/uploads\/2020\/09\/NCOIMAPOutlooksetup2.png\" alt=\"\"\/><\/figure>\n\n\n\n<p>Once in the Account Settings click&nbsp;<strong>New<\/strong>&nbsp;to add a new Email account.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"\/support\/wp-content\/uploads\/2020\/09\/NCOIMAPOutlooksetup3.png\" alt=\"\"\/><\/figure>\n\n\n\n<p>On the&nbsp;<strong>Auto Account Setup<\/strong>&nbsp;select the option&nbsp;<strong>Manual setup or additional server types<\/strong>&nbsp;then click&nbsp;<strong>Next &gt;<\/strong><\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"\/support\/wp-content\/uploads\/2020\/09\/NCOIMAPOutlooksetup5.png\" alt=\"\"\/><\/figure>\n\n\n\n<p>On the next screen select the type of account you are setting up, in this article we are setting up an POP account, so select&nbsp;<strong>POP or IMAP<\/strong>&nbsp;from the list and click&nbsp;<strong>Next &gt;<\/strong><\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"\/support\/wp-content\/uploads\/2020\/09\/NCOIMAPOutlooksetup6.png\" alt=\"\"\/><\/figure>\n\n\n\n<p>Next we need to enter our server settings as follows:<br><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Your name &#8211; enter your own name or company name depending on what you would like recipients to see.<\/li>\n\n\n\n<li>email address &#8211; enter the email address you are setting up<\/li>\n\n\n\n<li>Account Type &#8211; POP<\/li>\n\n\n\n<li>Incoming mail server &#8211; pop3.hosts.co.uk<\/li>\n\n\n\n<li>Outgoing mailserver (SMTP) &#8211; your SMTP server will be\u00a0<strong>smtp.hosts.co.uk<\/strong>\u00a0only if you your have purchased Authenticated SMTP Access, if you need to purchase this product please contact our Sales team on 0345 363 363 2<\/li>\n\n\n\n<li>User Name and Password &#8211; Your Username and Password are as you have set up in your Online Control Panel, if you are unsure of your Username and or Password please see this guide to reset your Password,\u00a0<a href=\"https:\/\/www.names.co.uk\/support\/articles\/how-to-change-your-email-password\/\">www.names.co.uk\/support\/articles\/how-to-change-your-email-password\/<\/a><\/li>\n<\/ul>\n\n\n\n<p>Once you have entered your details click&nbsp;<strong>More Settings<\/strong><\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"\/support\/wp-content\/uploads\/2020\/09\/NCOPOPOutlooksetup7.png\" alt=\"\"\/><\/figure>\n\n\n\n<p>Now we need to enter the outgoing SMTP details, select&nbsp;<strong>Outgoing Server<\/strong>&nbsp;from the tabs at the top.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"\/support\/wp-content\/uploads\/2020\/09\/NCOIMAPOutlooksetup8.png\" alt=\"\"\/><\/figure>\n\n\n\n<p>Tick the box labelled&nbsp;<strong>My outgoing server (SMTP) requires authentication<\/strong>&nbsp;then select the option&nbsp;<strong>Log on using<\/strong><\/p>\n\n\n\n<p>Your Username and Password are as you have set up in your Online Control Panel, if you are unsure of your Username and or Password please see this guide to reset your Password,&nbsp;<a href=\"https:\/\/www.names.co.uk\/support\/articles\/how-to-reset-your-authenticated-smtp-password\/\">www.names.co.uk\/support\/articles\/how-to-reset-your-authenticated-smtp-password\/<\/a><\/p>\n\n\n\n<p>Once you have entered the details click&nbsp;<strong>OK<\/strong><\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"\/support\/wp-content\/uploads\/2020\/09\/NCOIMAPOutlooksetup9.png\" alt=\"\"\/><\/figure>\n\n\n\n<p>This will take you back to the Account settings page, simply click&nbsp;<strong>Next<\/strong>&nbsp;to complete the setup.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"\/support\/wp-content\/uploads\/2020\/09\/NCOPOPOutlooksetup10.png\" alt=\"\"\/><\/figure>\n\n\n\n<p>All being well the Test Account Settings box will return a successful connection. If so just click&nbsp;<strong>Close<\/strong>&nbsp;to return to and finish the setup.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"\/support\/wp-content\/uploads\/2020\/09\/NCOPOPOutlooksetup11.png\" alt=\"\"\/><\/figure>\n\n\n\n<p>And finally just click&nbsp;<strong>Finish<\/strong>&nbsp;to complete the setup.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"\/support\/wp-content\/uploads\/2020\/09\/NCOPOPOutlooksetup12.png\" alt=\"\"\/><\/figure>\n\n\n\n<div class=\"wp-block-nco-info-block\"><p class=\"nco-info-block-content\"><strong>Important Note \u2013 Moving from POP3 to IMAP<\/strong><br><br>Switching an email account from <strong>POP3<\/strong> to <strong>IMAP<\/strong> changes how your emails are <strong>stored<\/strong>, <strong>synchronised<\/strong>, and <strong>deleted<\/strong>.<br><br>With <strong>IMAP<\/strong>, emails remain stored on the <strong>mail server<\/strong> and are mirrored across <strong>all devices<\/strong>. Any action taken in one location \u2014 such as <strong>deleting<\/strong>, <strong>moving<\/strong>, or <strong>organising<\/strong> messages \u2014 will automatically apply everywhere. Deleting an email on your phone, for example, will also delete it from your desktop and <strong>webmail<\/strong>.<br><br>Under <strong>POP3<\/strong>, emails are downloaded to a <strong>single device<\/strong> and can be <strong>removed from the server<\/strong>. Deleting a message only affects that device, which can create differences between devices but also prevents global deletion.<br><br>Changing from a <strong>POP3 connection to IMAP will result in existing locally stored emails not being present on the server<\/strong>, and messages can be <strong>permanently deleted or lost if they are not backed up beforehand<\/strong>, depending on how the email client is configured.<br><br>To prevent <strong>permanent data loss<\/strong>, you <strong>must create a full backup of your mailboxes before making this change<\/strong>.
