How Brexit may affect email accounts for .eu domains

What is happening?

The UK Government has committed to leaving the European Union by 31st October 2019, regardless of whether a deal is agreed or not. There is still some uncertainty regarding how this will affect .eu domain holders, but it is prudent at this point to prepare for the worst.

When Brexit happens then it is possible that UK / Gibraltar citizens will lose their .eu domains. So, with just over two months before the deadline, it is important to consider what you need to do.

What do I do next?

The first step should be to identify a suitable alternative domain that can be used instead of the existing .eu domain. The easiest way to do this is to pop your domain name into our Domain Search on our website as this will check to see what other common extensions, such as, .uk or .com, your name is available in.

Our search will even display some suggestions for you if your preferred suffix is already registered.

I am using my .eu domain for email

After registering your alternative domain, you will need to ensure that it has an active email package that supports the number of email addresses or mailboxes that you need.

In order to aid the transition process, we will provide the package free of charge on the new domain for a period of one month. Once you have selected a suitable package please contact our Sales team on 0345 653 9661 who will assist you in adding it to the new domain.

Step One - Create email address

Once the new domain has an active email package then you will need to create your desired email address in your Moonfruit Control Panel

Step Two - Add new account to your email client

If you only use WebMail to send or receive your emails then you can skip this step, although you will need to bear in mind that when you login to WebMail in the future you will need to use the new email address you have created and its password.

If you are using an email client such as Microsoft Outlook or Apple Mail, or a device such as an iPhone or iPad, then you will need to add the new email address to it.

Step Three - Forward old email address to new one

Now that you are up and running on your new email address, you will want to start the process of getting your email contacts used to the new address. The best way to do this is to send all new emails from this point on using the new address, but you may also want to set a forward on the old address so that it redirects to the new one.

Step Four - Create an "Out of Office" on the old address

You may also want to set an "Out of Office" / Autoresponder message on the old email address, which automatically replies back to senders to let them know what your new address is.

Step Five - Update email signature

Next, you may want to ensure that emails you send out from your new account have a signature at the bottom which draws attention to the fact that the address has changed.

The signature will need to be created in whichever client or device you are using to send your emails. For example, if you send out your emails using Microsoft Outlook then you will need to create the signature in that, or if you use Moonfruit WebMail then it can be done there.

Step Six - Transfer across old emails

At this point you should be up and running on your new email address. You'll be receiving new emails into the account, either directly or via the forward on the old address, and will be sending out using the new address.

However, all of your old emails will still be located within your old .eu account. If you have any important emails in there that you wish to retain, then we recommend forwarding them to your new address to be sure that you don't lose them.

It is possible to use a client such as Microsoft Outlook to export all of the old emails to a .pst file, which can then be imported into the new account. This process may take a while if there are several thousand emails, so it is best to do it during a quiet period when you are not using the computer for anything else.

Alternatively, you may want to consider simply "dragging and dropping" the emails from the old account to the new one. If you have both accounts setup in Outlook then they will both be listed in the folder structure down the left, so you can go into the Inbox of the old account, select the relevant emails, and drag them to the Inbox of the new account.

Once all of the above has been done, it will be best to get in touch with us to discuss removing the old email package from the .eu domain. Remember that we will provide you with one month of service on the new domain for free, in order to assist you with this transfer process.

Final Steps

Over the course of the next few months, leading up to the end of October, you should ensure that everyone knows the new domain and is using that instead. If you have any business cards or marketing material that feature the old domain then they will all need to be updated to the new one.

Have a think about anywhere your .eu domain may be listed, and spend some time updating those references, in order to ensure you are not caught short in the event that you lose the domain.
